1.0 Introduction

Stance Security have identified the need for a clear and concise policy to outline how annual leave should be applied for and whether or not it is viable to be authorised.

2.0 Purpose

To ensure that all staff follow the correct procedures in applying for leave to ensure it will be approved.

3.0 Principles

That all staff are able to take their leave entitlement.

4.0 Definitions

Senior manager is defined as the most senior person within the department / work area / on duty.

The operational manager is defined as the person who has direct responsibility for the site.

4.0 Responsibilities

Senior Manager’s Responsibilities

• To ensure that this policy is kept relevant and up to date.

• To ensure that staff are aware of and have read this policy and adhere to it.

• Ensure all appropriate paperwork has been sent to the Director(s) via email.

• That staff are aware of their responsibilities and how to request their leave.

• To email staff members to confirm once their leave has been approved.

All Employees Responsibilities

• To verbally advise their manager / supervisor immediately of any concerns they may have.

• To conduct themselves appropriately and to work with other staff members and to understand that all leave will be issued as fairly as possible.

5.0 Outline and Purpose

Each staff member is given an annual leave entitlement each year. They are to provide notice of leave in line with this policy, which will then be granted where ever possible,

6.0 Staff Leave

1. All full time Staff will “accrue” leave based on the hours they work. The maximum holiday entitlement any staff member will be able to “accrue” is 28 days per leave year. The holiday entitlement is worked out using HMRC .Gov.uk holiday calculator, which all staff can use themselves should they need to find out how much holiday has been accrued.

2. Part time staff will have a leave entitlement worked out under the same principles as point 1 based on the hours worked.

3. Holiday will not be granted from 12th December until the 6th January for operational reasons.

4. 14 days’ notice is required for holiday periods up to four days.

5. 28 Days’ notice is required for holiday periods longer than four days.

6. Leave cannot be carried forward to the following year.

7. You will receive your full leave entitlement from the 1st April, or your start date, until the 31st March the following year.

8. If you leave the employment of Stance Security and have taken more than your accrued leave it will be deducted from your final pay period.

9. Once leave is approved you will receive an email from your manager confirming your leave has been granted.

10. Stance Security will endeavour to grant all leave however it is granted on a first come first serve basis taking into account the companies operational needs.

11. If any employee leaves Stance Security employment without following the correct procedure as per your contract, all accrued holiday will be forfeited.

12. Leave cannot be booked for move that 14 consecutive days, except for in exceptional circumstances which will be pre-agreed by your line manager and documented

7.0 Leave Booking Process

1. Complete the annual leave request form located at: https://stancesecurity.co.uk/leaverequest/  requesting leave.

3. Book your leave for the full period you will be unavailable for – not just your rota’d shifts.

4. Book each day individually – this will allow for your allowance to be calculated, paid and deducted correctly (un-rota’d days will show as declined.)

5. An Email will be sent from Stance Security secretary to confirm the leave is approved.
